Kershaw Surveyors are committed to protecting and respecting your privacy.
We need to gather and use certain information and personal data about individuals. These can include clients, suppliers, business contacts, employees and other people our organisation has a relationship with or may need to contact. Personal data is any information relating to an identified or identifiable living person. When collecting and using personal data, our policy is to be transparent about why and how we process personal data.
This policy describes how personal data is collected, used and stored to meet data protection standards and to comply with the law.

How do we collect your information?
How you send information to us is your choice but please be aware that some methods are not secure. If you are unsure how you should send confidential data to us please contact us and we may be able to help you.
What type of information do we collect?
We will collect the information we need to provide you with the services you have requested from us.
If you have registered for an event with us, we will collect information we need to arrange and administer those events. This might include dietary requirements and any other pertinent information related to your requirements.
If you apply for a job with us we will collect enough data to process your application.
How will your information be used?
We will use your data in accordance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018 or any other national implementing laws, regulations and secondary legislation, as amended or updated from time to time, in the UK.
If you contact us enquiring about our services and are not instructed, your information will be stored in a secure manner for up to 12 months. It will then be destroyed.
If we are instructed, we will only use your information during the time we are carrying out the services you have engaged us for. Once an instruction is concluded, your information will be stored in a secure manner for a period of up to 15 years in order to comply with our Professional Indemnity insurance obligations. After this period, your information will be safely destroyed.
Should you provide personal data to us, there are circumstances when we may use it whether you provide us with consent or not. This is likely to be the case where we need to use your data to update you about services you have requested from us in the past, or where we need to process the data for regulatory purposes or any other legal reason. The below lists some of the ways we may use data without your consent:
If you are a member of a company or organisation (not a private individual) we may add your email to our mailing list for occasional communication about changes to our services, policies, terms. Very rarely we may use it for marketing purposes to inform you about events or new services we offer. If you do not wish to receive these updates, you can always request that we remove your data from our mailing list.
We may share your personal data with other regulatory or public bodies where there is a legal basis to do so.
If you contact us and provide us with your personal data as part of a query we will keep a record of those details for up to 12 months.
We will share personal data with a third party if required to do so by law.
If you make a complaint we will process your data to address any concerns effectively. We may need to do this even if you change your mind, if we are required to do so by the regulating bodies of whom we are members. This includes complaints through our dispute resolution service.
Who your information might be shared with?
Your information will not be shared with any third party other than those who are involved in carrying out the service you have requested – for example, if a subcontractor is required to fulfil your instruction, you will be informed and we will share your details with them. We cannot be held responsible for the data protection policies of such a third party.
Your information will not be shared with any third parties for marketing purposes.
Who has access to your information?
Employees of Kershaw Surveyors will have access to your personal data where it is needed to carry out a specific task. Because of the way we process our accounts, our accountancy firm has limited access to some information we hold about you and they are bound by law to keep that information confidential.
Your rights
You have a right to access the personal data we hold about you. You may ask us to rectify or erase the personal data we hold about you or to restrict the processing we carry out. You can also object to the way we are processing your personal data.
In some cases, we may not fully comply with your request. For example, if you request we erase the personal data we hold about you we will not be able to do so for 15 years after your instruction to us was concluded, as we are legally required to retain it for Professional Indemnity Insurance purposes.
